Guide 1

Create a team and invite members

Route Planner Teams has two parts: the website, where you plan the routes, and the Route Planner for Couriers app, where your drivers drive them. In this guide you create the team on the website and invite your team members to it. Everyone joins with the same invite; the owner then decides who also plans routes as a dispatcher.

Get access

During the pilot, Route Planner Teams is open by invitation. To request access, sign in on the Route Planner Teams website with Google or Apple and fill in your company name, country and number of drivers. We review requests within 3–5 business days and email you when your access is ready.

You sign in with a Google or Apple account, so there's no separate password to remember. Use the account your company will keep: whoever creates the team becomes its owner. Sign in with the same email you used in your request.

Create your team

  1. Open the Route Planner Teams website and choose Continue with Google or Continue with Apple.
  2. Under Create your team, enter the Company or team name (your team will see it) and Your name.
  3. Click Create team. The website opens Routes, with Team and Subscription in the menu.

Use the name your drivers know your company by.

An account can be in one team at a time.

Start the subscription

Planning and sending routes unlock as soon as the free trial starts. On the Subscription page, the owner chooses a package — up to 5, 10 or 15 team members, including the owner — and adds a card in the Paddle checkout. You aren't charged during the trial, and you can cancel any time before it ends.

If you joined the pilot with special terms, the Subscription page shows Your offer before you pay anything. The page also shows this month's usage: stops added to routes, route optimizations and addresses searched from lists.

Invite your team members

Everyone joins the same way — drivers and the people who will plan routes with you. One invite is enough for the whole team: the same code and link work for everyone.

  1. Open Team and click Invite members. A window opens with your Team code, a QR code and an invite link.
  2. Send the invite in whatever way suits your team (see below).
  3. Close the window when you're done. The invite keeps working after you close it.
  • Copy invite copies a ready-made message with the link and the code, to paste into a text message, an email or your team chat.
  • Send via WhatsApp opens WhatsApp with the same message.
  • Show the QR code on your screen: a driver points the phone camera at it to open the link.
  • Or simply read out the code. Capital or small letters and the dash don't matter.

One invite for the whole team: send the link, show the QR code or read out the code.

An invite is valid for 7 days. Each time you open Invite members, a new code is created; earlier codes keep working until they expire.

What your team members do

  1. The new member opens the invite link on the phone and taps Open in the app. If Route Planner for Couriers isn't installed yet, the page links to the App Store or Google Play.
  2. The app joins your team with the code. A member can also enter the code in the app, in Settings → Join a team, or open the link on a computer and sign in with Google or Apple on the website.
  3. The person appears in Members on your Team page, with the date they joined. Each member gets their own colour, which you'll see on the maps.

From then on, the routes you assign appear in the member's app straight away, with a notification. Routes a member creates for themselves in the app stay private: you only see the routes of your team.

A person who is already in another team has to leave it before they can join yours.

Your Team page

Team shows everyone in the team in one list:

  • Members: everyone in the team, newest first, with the date they joined and their role — Owner, Dispatcher or Member — and a counter such as Members · 4 of 5 against your package. Each member has a View only switch and a Remove button; the owner also has Make dispatcher and Remove dispatcher; see Dispatchers and view-only members.
  • Any member can drive: assign a route to anyone in the team, including the owner and dispatchers, and it appears in their app.
  • Proof of delivery and Parcel control: what drivers capture at each stop; see Proof of delivery.

Remove a member

  1. Click Remove next to the member.
  2. The confirmation shows how many of their team routes will come back, including any route in progress. Confirm with Remove.

The member's team routes return to the team owner straight away, including a route they're driving at that moment, together with its proofs of delivery. The member no longer sees them. Routes they created for themselves in the app stay with them.
